The Teleflex Planner orchestrates conferences and scientific tradeshows for assigned North America business units and is responsible for an average of 25 events annually. Exhibit sizes range from 10'x10' to 40'x50' per event. The Planner plays an integral role in each event beginning with overall strategy through post-show survey analysis that can impact plans for the following year. Specialist in exhibit coordination that collaborates with multiple departments in the planning and execution of consistent exhibit functions. Responsible for coordinating, executing and managing exhibits/tradeshows for varying business units within the company. Ensure that the best value to the company for the program and services provided are captured.

The ideal candidate will have bachelor degree along with 5 years previous exhibit management /coordination experience. Previous healthcare exhibit experience preferred.

Job responsibilities include, but not limited to:

1. Coordinates and manages exhibits and corporate sponsored workshops on the meetings calendar; assists with keeping the meetings/exhibits information updated.
2. Oversee the maintenance of accurate activity logs for upcoming events and deadlines; Oversee the maintenance of attendee updates/changes & details with accurate and timely information for the event.
3. Coordinate all aspects of 75+ corporate exhibits/workshops including budgets, vendor relations, cost analysis, attendee lodging and rooming list management for 10 or more attendees and up to 200.
4. Manage the maintenance and coordination of exhibit strategy meetings.
5. Train and promote onsite lead taking and champion lead generation best practices. Provide suggestions for needed updates and improvements.
6. Review booth requirements across departments and makes suggestions for new booth design concepts with internal customer input.
7. Evaluate technology needs and make suggestions for RFP for booth renewals and refurbishing.
8. Manage the maintenance of the online exhibit/accessory website for use by external & internal customers.
9. Provide on-site coordination/guidance to exhibit staff members; Responsible for lodging and managing on site team.
10. Assist with the coordination of sponsorship opportunities.
11. Oversee the maintenance of workshop logistics including; site-selection, food & beverage, audio-visual, rooming lists, ground transportation, off-site activities and special needs.
12. Provide final cost analysis and savings reports to Exhibit/Event Manager upon conclusion of meeting; process check requests and exhibit applications.
13. Liaison with Marketing Communications on communication technologies, project requests, booth visuals and media.
14. Liaison with Lab & Exhibit Services to support the streamlining of processes as they pertain to product selection for exhibits, tracking packages and costs

Field Event Marketing Manager

EXEMPT FULL TIME

Exabeam is seeking a dynamic, experienced Field Event Marketing Manager to drive event planning in the West and Central U.S. market. Reporting to the Senior Manager of Marketing Events, the Marketing Manager will own the company's overall event strategy, event production, logistics, budget management, vendor management, and promotional plan for the West and Central U.S. regions.

Success will require close partnership with the sales team and channel marketing team to plan and execute events that engage prospects, deliver new opportunities, and accelerate existing pipeline. The successful candidate will work with their regions to define the Marketing plan that is consistent with corporate, sales and marketing priorities and initiatives. The position will be located at Exabeam HQ in San Mateo and will require travel to regional events.

Responsibilities
o Collaborate with internal teams to develop strategies for field marketing events that align with corporate, sales, and marketing priorities and initiatives.
o Drive vendor management, venues, shipping, event booth or display builds, attendee traffic, engagement activities, and other logistics for all West and Central U.S. events including trade shows, regional user groups, field and partner-led events, and Exabeam hosted road-show events.
o Manage regional event budgets, contracts and invoices ensuring tight control of expenses.
o Guide creative and promotional approach, including event design, pre-and post-show promotion, giveaways, and event-related materials to drive demand gen activity and achieve measurable results.
o Manage post-event follow-up to include list uploads, event attribution and lead hand-off to Sales Development Team.
o Establish event success criteria and objectives. Evaluate results against KPIs to ensure return on investment.

Required Skills:
o 3-5 years of relevant event experience supporting field sales and partner organizations.
o Proven operational excellence with managing vendors, facilities, shipping, booth builds, booth traffic engagement activities, and other event logistics.
o Demonstrated ability to work cross-functionally, manage multiple events simultaneously, work on tight deadlines and deliver event deliverables on schedule.
o Solid project management skills. Ability to manage multiple priorities under tight deadlines, in a fast-paced environment with competing priorities and last minute changes.
o Experience managing multiple budgets and staying within budget allotted.
o Trade show experience required.
o Excellent organizational, communication and project management skills.

Additional Requirements:
o Willing and able to travel as required (approximately 25% - 40%)
o Salesforce knowledge, preferred
o Must live in the Bay Area and work in office when not traveling.

We are looking for an energetic person to provide administrative and on-site support to the exhibits department, focusing on international logistics and execution. Assist with all pre-planning, onsite and post events tasks. This person will serve as a liaison to internal and external clients, including employees, vendors and associations.

The ideal candidate will have bachelor degree along with experience in both exhibits industry and with international exhibits and speaks a second language.

Job responsibilities include, but not limited to:

• Correspond with exhibitor appointed contractors and association meeting organizers on international exhibit requests as needed.
• Work with marketing project manager on project requests related to international exhibits activities, and assist & update marketing on changes and deadlines.
• Work with the AXIS project team and Exhibit Data Specialist on details required for of the leads app and list management.
• Post show download leads generated, run through the Denied Parties List for GTO and distribute to global team members.
• Coordinate with global partners to collect user data, conference details and focus products to update the AXIS lead system.
• Assist with international payments for show orders, workshop fees and exhibit house quotes.
• Assist with creating international exhibit and workshop registrations with Cvent software.
• Manage all banner stand requests from agencies through the Business Portal. Train agency personnel on placing orders and providing detailed information involving the exhibit’s inventory.
• Help to manage an online electronic database of booth displays, including photos, descriptions and pricing and work with agencies and global partners on how to place orders and update inventory.
• Assist global and internal departments with the completion of exhibit request forms.
• Assist with additional meetings being hosted in conjunction with larger conferences and exhibits.
• Assist with payment processing for show orders and exhibit house quotes.
• Assistance with allocation of meeting card expenses, receipt maintenance and auditing and tracking.
• Maintain list of approved and preferred vendors.
• Manage travel, housing and transportation arrangements related to exhibits and OLC courses.
