American Rental Association Survey: Event Planners Expect to Increase Rental Activity

Among professional event planners who rented items in the past year, more than half expect to increase reliance on rental in the next year, according to a survey released by the American Rental Association (ARA).

The “Rental Customer Needs Study,” conducted by RSG, an independent research firm for ARA, surveyed a representative sample of professional event planners across the country. Results showed that 95 percent of respondents rented in the last year, and 57 percent of those who rented expect to rent more in the year ahead.

The study found that audio/visual technology, tables, food service items and chairs topped the list of items event planners rented most in the last year. Reasons event planners rented included: they needed items for immediate use (40 percent); their need for the item was infrequent or for a short period (40 percent); and they needed to satisfy a specific customer request (38 percent).

Of the event planners who expect to rent more in the upcoming year, 44 percent will increase rental use due to more events, 29 percent want to reduce acquisition, ongoing ownership, and/or operating costs, and 20 percent plan to increase rental of currently used items.

Satisfaction was high among those surveyed; 99 percent said they are satisfied with their rental experience, with 74 percent saying they are very satisfied. For creating a positive experience, respondents credited the condition of items, a good relationship with the people at the rental store, and efficiencies gained through rental.

When deciding on a rental store to partner with, professional event planners said they consider:
  • Rental and delivery costs
  • Availability of on-trend and varied inventory
  • Rewards for frequent rentals
  • Transaction ease and speed
  • Ability to check rental inventory online
  • Store hours and pickup times, as well as access to rental staff outside regular store hours
